This is our plain-language privacy notice. It tells you what Kelbie collects, what we do with it, and what you can do about it. If you want a version with more formal legal language, email hello@kelbie.ai and we'll send it.

Who we are. Kelbie is built by Kelbie, LLC. You can reach us at hello@kelbie.ai for anything, including questions about your data.

Who this applies to. This notice covers kelbie.ai (the website you're reading), app.kelbie.ai (the Kelbie app when it's available to you), and any emails we send you as part of the Kelbie service.

What we collect

We collect three kinds of information.

Information you give us directly. When you request a beta invite, we collect your name, email, and the answers you give to our short intake questions (what you'd want to track, what app you use today, and any notes you want to share).

When you're a Kelbie user, we collect the data you log (hydration, sleep, movement, meditation, cycle, supplements, medications, weight, daily check-ins, and similar), what you write in your journal, and information about your account (email, password, preferences, timezone).

Some of this is sensitive. We treat it that way.

Information we collect automatically. When you use Kelbie, we log basic technical information — your IP address, browser type, the pages you visit, and the actions you take within the app. This is used to keep the app running and secure, and to understand what's working. We use essential cookies for the site to function and for authentication.

Information from third parties. We don't buy or receive data about you from data brokers, advertising networks, or social platforms.

What we do with it

We use your information to run Kelbie — that's it.

  • Your tracking data and journal entries power the insights you see, the Sunday Letter if you subscribe, and the daily responses to your journal.
  • Your email gets you your beta invite, account confirmations, security notices, and any emails you've opted into (like the Sunday Letter).
  • Your intake answers help us understand what to build next and who Kelbie is helping.
  • Technical logs help us debug, prevent abuse, and keep the service secure.

We don't run ads. We don't sell your data. We don't rent it, trade it, or share it with marketers. Your individual logs and journal entries are never used to train AI models — ours or anyone else's.

Who we share it with

Kelbie runs on infrastructure from a small number of trusted providers. These are our "sub-processors" — companies that handle parts of the service on our behalf, under contracts that require them to protect your data.

When Kelbie generates an AI response, we send an AI service provider an anonymized summary of your data and relevant themes from your entries — not your raw journal text, unless you're asking a direct follow-up about something you wrote. Per our agreement with the AI service provider, this information is processed only to generate your response. It is not retained after processing, not used to train AI models, and not shared with any other party.

We will update this list if we add or change sub-processors. Material changes will be announced via email to active users.

We may also disclose information if we're legally required to (a valid subpoena or court order), if it's necessary to protect someone's safety, or if Kelbie is acquired or merged into another company (in which case your data would transfer, and you'd be notified in advance with the option to delete your account first).

How long we keep it

  • Waitlist data is kept until you become a Kelbie user or for 24 months, whichever comes first. After that we delete it.
  • Account data is kept for as long as your account is active. If you delete your account, we delete your logs, journal entries, and associated data within 30 days. Backups may retain data for up to 6 additional months before being overwritten.
  • Email records (emails we've sent or received) are kept for up to 24 months.
  • Technical logs are kept for up to 90 days.

How we protect it

We take security seriously. The specifics live on our Security page, but the essentials:

  • Data is encrypted at rest and in transit.
  • Passwords are hashed with bcrypt — we can't see your password.
  • Access to the production database is restricted to the system administrators and requires two-factor authentication.
  • We do not have customer support staff who can read your journal entries.

No service is perfectly secure. If we learn of a security incident that affects your data, we'll notify you within 72 hours and tell you what happened and what you can do.

Your rights

You have the right to:

  • Access the data we hold about you.
  • Correct anything that's wrong.
  • Delete your account and the data associated with it.
  • Object to specific uses of your data, or withdraw consent you previously gave.
  • Ask questions and get a real answer from a human.

In Kelbie, you can request an export or delete your data by emailing hello@kelbie.ai. We'll respond within a reasonable time — usually a few days, always within 30.

If you live in California, Colorado, Virginia, Connecticut, Utah, or another US state with privacy legislation, you have specific rights under those laws. We extend the same rights to everyone regardless of where they live.

If you live in the European Economic Area, the UK, or Switzerland, you have rights under the GDPR including the right to complain to your local data protection authority. The legal basis for our processing is either your consent (for things you opt into, like the Sunday Letter), contract (for running the service you signed up for), or legitimate interest (for things like security logging and basic product analytics).

Children

Kelbie is not designed for people under 18, and we don't knowingly collect data from minors. If you believe a minor has given us data, email hello@kelbie.ai and we'll delete it.

AI-specific notes

Because Kelbie uses AI to respond to your journal entries and generate insights, a few things are worth calling out specifically:

  • The AI is not a doctor, therapist, or coach. Kelbie surfaces patterns and offers gentle observations — it does not diagnose, prescribe, or provide professional advice of any kind.
  • If something you write suggests you need human support, Kelbie may quietly surface resources (crisis lines, healthcare guidance). These are pointers, not a substitute for reaching out to a qualified professional.
  • The AI's responses are generated from your data and prior entries. It can make mistakes, miss context, or say things that feel off. You are always the expert on your own body and mind.

Changes to this policy

When we change this policy, we'll update the date at the top. If the change is material — affects what we collect, how we use it, or who we share it with — we'll email active users and note the change here.
